Position Overview:

The Medical Support Assistant provides front-line administrative and customer service support within a clinical research hospital environment. This role supports patient admissions, appointment scheduling, reception services, and coordination of patient services while ensuring confidentiality, professionalism, and compliance with NIH policies.

Qualifications:

Job qualifications & certifications:
- High School Diploma or GED (required).
- NIH-required infectious disease documentation (measles, TB, influenza, etc.)
- Completion of mandatory NIH training within 30 days of start.
- Ability to obtain and maintain NIH ID badge.
Skills:
- Strong customer service and communication skills.
- Proficiency in Microsoft Word and Excel.
- Ability to work in a fast-paced clinical environment.
- Professional demeanor and emotional intelligence.

Key Responsibilities:

Provide in-person and telephone customer service to patients, families, and clinical staff.
Register and admit patients; update demographic information in electronic medical record systems.
Schedule, cancel, and manage patient appointments.
Monitor patient wait times and communicate delays appropriately.
Create and process patient travel vouchers and reimbursement documentation.
Maintain reception areas, issue patient ID wristbands, and respond to medical emergencies per guidelines.
Maintain strict patient confidentiality and Privacy Act compliance.
Support inpatient and outpatient care areas.
Float between Patient Support Services Department units as needed.
Maintain professional appearance and adhere to NIH dress code.
Comply with attendance, punctuality, and conduct standards.
